Purpose of the Role:

The Personal Assistant (PA) to the Managing Director (MD) plays a key role in supporting the leadership of Holt JCB by providing high-level administrative and project coordination support. This position ensures the MD remains informed, engaged, and focused on strategic priorities and operational objectives. The PA will also support the MD and Sales Director in producing management reports, coordinating business projects, and maintaining alignment across departments.

Key Responsibilities:

Executive Support

• Provide comprehensive administrative and organisational support to the Managing Director.
• Manage the MD’s diary, meetings, and correspondence, ensuring time is allocated effectively.
• Prepare meeting agendas, take minutes, and follow up on actions to ensure completion.
• Act as the main point of contact between the MD and internal/external stakeholders.

Project Management Coordination

• Support the MD in coordinating and monitoring key business projects.
• Track progress against milestones, deadlines, and deliverables, escalating risks or delays as appropriate.
• Liaise with department heads to ensure project updates and documentation are current.
• Maintain a central register of ongoing projects and priorities.

Reporting & Business Analysis

• Prepare and format regular management reports and presentations for the MD and Sales Director.
• Collate data and insights from across the business to support strategic decision-making.
• Ensure accuracy and consistency in reporting metrics, project updates, and performance reviews.

Business Support & Communication

• Keep the Managing Director engaged and informed on business performance, operational needs, and key objectives.
• Coordinate and communicate updates to ensure alignment between departments and senior management.
• Support the organisation of leadership meetings, conferences, and business reviews.

Skills & Experience Required:

• Proven experience in an Executive Assistant or PA role supporting senior management or directors.
• Strong organisational and project coordination skills.
• Excellent written and verbal communication, with attention to detail.
• Proficient in Microsoft 365 (Excel, PowerPoint, Teams, and Outlook).
• Ability to manage multiple priorities and maintain confidentiality at all times.
• Comfortable working in a fast-paced, dynamic environment.
• Experience in reporting, data collation, or project tracking is highly desirable.
